Behind the Screen: What It Really Takes to Bring a BranchOut! Community Workshop to Life


When attendees log into a BranchOut! Community Workshop, they see a polished, engaging event: esteemed expert panelists, confident student emcees, and seamless, thoughtful conversations.


What they don’t see is the weeks of intense preparation, persistent outreach, and quiet problem-solving happening behind the scenes. Every smooth, 60-minute panel discussion is actually the iceberg peak of hundreds of hours of student teamwork.


Our recent workshop, The Psychology of Student-Athletes: Performance & Well-being, offered a perfect window into how our student team turns a blank slate into an impactful community event.


1. From Idea to Architecture: The 9:00 AM Grind

Preparation began two weeks prior to launch. Every single weekday morning from 9:00 AM to 12:00 PM, the Community Workshops team met over Google Meet to build the workshop from scratch.


To ground the event in real substance, the team anchored the discussion around the Student-Athlete Well-Being Framework—exploring four core pillars:

  • Physical Well-Being

  • Cognitive Well-Being

  • Psychological Well-Being

  • Social Well-Being


From mapping out nuanced discussion prompts to writing custom emcee scripts and designing multi-channel promotional graphics, these morning sessions transformed a high-level concept into a tight, professional agenda.


2. The Numbers Game: Cold Outreach & Expert Panelists

Securing high-profile mental health and sports professionals is one of the most challenging parts of event planning. For a typical workshop, the team reaches out to anywhere between 40 and 100 experts.


For this event, after sending out 50 personalized outreach emails, the team confirmed two exceptional leaders in the field:

  • Dr. Keith Kaufman — Clinical and Sports Psychologist

  • Mr. Kyle Cabotaje — Athletic Performance Specialist


Their willingness to share their expertise gave our audience an inside look at how student-athletes can balance high-level performance with long-term mental health.


3. Practice Makes Polished: Rehearsals & Multi-Channel Marketing

A great script isn't enough—execution is everything. To ensure the live discussion felt natural rather than rehearsed, the team held three full-length mock panels.


These rehearsals allowed student emcees to practice seamless transitions, refine spontaneous follow-up questions, receive constructive peer feedback, and troubleshoot potential technical or timing bottlenecks before going live. Simultaneously, the marketing team activated a full digital push to make sure the community showed up.


4. Game Day: Behind-the-Scenes Precision

Although the event was scheduled to open its virtual doors at 7:00 PM, the team joined 30 minutes early; student directors, technical leads, and emcees conducted thorough audio checks, slide-sharing tests, and video reviews. When Dr. Kaufman and Mr. Cabotaje logged on, the team welcomed them, reviewed the final schedule, and ensured the speakers felt completely comfortable before letting participants in from the waiting room.


5. Pivot on the Fly: The Art of Real-Time Adaptability

Even with weeks of preparation, live events always bring surprises. During the workshop, the panelists were so generous with their answers that the core discussion ran longer than originally scheduled. With only minutes remaining before the top of the hour, the behind-the-scenes team quickly communicated via backchannel messaging, adjusted the remaining timeline on the fly, and smoothly transitioned directly into the audience Q&A. To the audience, it looked completely planned. To the team, it was a masterclass in adaptability.
